How we protect your clients’ documents
Discount Docs collects photos and documents that prove insurance discounts. Here is exactly what happens to them. This page is written for agency owners and the compliance people they report to.

Clients never need an accountA link with a 128-bit random code opens one request only; links are revoked when re-issued and stop working when the request closes.

Location data is removedPhotos lose their GPS tag on upload. Nothing else in the picture is changed.
No data sharing, no sellingYour clients’ data is used to run your requests and nothing else. No advertising, no resale, no training of AI models.
Who processes the data
Discount Docs is operated by Aced LLC (Luis Ramirez), 1666 E Sunshine Street, Springfield, MO 65804. We use five providers, all under contract:
- Render — servers and the database (PostgreSQL), US East
- Amazon Web Services — file storage (Amazon S3), US East
- Postmark — email delivery
- Anthropic — translation of the agent’s own words — item names and instructions — never a client’s files or answers
- Apple — phone notifications to agency staff: a client’s name and a checklist’s name, nothing else
What we keep and for how long
- Photos and documents: until the agency’s retention period ends (default 13 months after the request closes), or sooner when deleted by the agency. A deleted file is removed at once, erased from storage within 7 days and from backups within 30.
- Answers typed by the client (a mileage, a device model) and the request history: 4 years, so a discount can be shown as earned.
- Email addresses that asked us to stop: kept as long as needed to honor the request, even after the client is deleted.
- Sign-in: email plus a one-time code every time. We store no passwords.
What an agency can do
Download everything about a request as a zip at any time. Delete any file or any client on the spot. Remove a team member and end their access immediately. Export or delete the whole agency on request: write to luis@snapdiscountdocs.com.
